Checking Items Out of the Library

Holds:  Please help the Library control expenses and keep library materials moving along to the next patron.  An item may be handled several times by Library staff in order to get your hold to the library where you want to pick it up.  Then it waits on the Hold Shelf for 10 days.
  • If you request a hold on an item but decide you don't need it, please Cancel your hold.
     
  • If you are going to be on vacation or won't be able to use the item on hold right away, please Suspend your hold.

If you suspend or cancel holds that you don't need or want right now, it reduces staff effort to transport the item to your library and it keeps materials in circulation for other patrons.

Review Items Checked Out

There are several ways to review your library record to see what items you have checked out.

Use the Library Catalog from home or in the library
  • Click on the "My Account" tab.
  • Type in your library card number (including the D) and last four digits of your phone number or PIN. 
  • Click on "Items Out" to see a list of items you have checked out, overdue or "lost".  (Lost means that the items are more than 28 days overdue.)
Call Telecirc at 360-586-1599 (in the Olympia calling area) or 1-800-582-9703.  
  • Enter your library card number (without the D) and last four digits of your phone number or PIN.
  • Enter option 2 to hear a list of items you have checked out.
  • Enter option 5 to hear a list overdue items (this does not include the items that the library system considers "lost", i.e., those that are 28 days overdue)
Contact Ask A Librarian, call your local library or ask a staff member in the library for help canceling your hold.

 

Loan Periods

Feature film videos and feature film DVDs - 7 Days
All Other TRL Items - 3 Weeks
Number of checkouts allowed - 50 checkouts
Interlibrary loans – Loan period depends on the loaning library

 

Renewals

You can renew an item you have checked out two times if no one else has a hold on it.  The renewal period is the same as the original loan period and is calculated from the day you renew.

Use the Library Catalog from home or in the library
  • Click on the "My Account" tab.
  • Type in your library card number (including the D) and last four digits of your phone number or PIN. 
  • Click on "Items Out" to see a list of items you have checked out.
  • Click on the check box in front of the item(s) you wish to renew.  Then click on the "Renew" button at the top or bottom of the screen.
  • The item will be renewed if no one else has a hold on it and if you have not already renewed it twice.
Call Telecirc at 360-586-1599 (in the Olympia calling area) or 1-800-582-9703.  
  • Enter your library card number (without the D) and last four digits of your phone number or PIN
  • Enter option 1 to renew items that you have checked out.

Overdue Notices

Timberland sends three overdue notices and a billing notice if items are not returned.   Overdue notices are sent by one of three methods.

  • An email notice will be sent to you if you have provided your email address to the Library for  your patron record.
    • Add your email address to your patron record if you want your notices emailed to you.  Login to the Library Catalog and click on Profile to add or update your email address.
  • Telecirc, TRL's automated telephone notification system will call you.
  • A printed overdue notice will be mailed to you if Telecirc can't reach you for 3 days.

Timberland sends a billing notice 28 days after an item becomes overdue to let you know what the replacement cost is.  Billing notices are printed or emailed.  Billing notices cannot be delivered via Telecirc.

 

Fees for Overdues

Starting on October 1, 2009, Timberland will begin charging fines for overdue items.  See Fines for Overdue Library Items - Frequently Asked Questions for more information.

There are no fines for overdue materials, however, Timberland does charge for damaged or lost items and charges a $10.00 fee if your account is submitted to a collection agency.

Charges must be paid and overdue items must be returned or renewed before you can check out additional items. 

 

Collection Agency

If an item is not returned after overdue, damage, and billing notices have been sent, your account may be assigned to a commercial collection agency.  A $10.00 collection fee will be charged to your library card account whether you return the lost items or pay the lost or damaged fees.  All charges must be paid before you can check out additional items.

 

Requesting Holds

Number of hold requests allowed - 25 requests

You can "request a hold" on an item that is checked out or not on the shelves.  Your hold request will be retained for 1 year.  

When your requested item arrives at the library, you will be notified by telephone, email, or through the mail that it is ready for you to pickup.  The item will be held for you for 10 days.

Use the Library Catalog from home or in the library
  • Search the Library Catalog and select the item you want by clicking on it. 
  • Click the "Request Hold" button. 
  • Enter your library card number (including the D) and last four digits of your phone number or PIN.
  • Change the pick up location if necessary, i.e. the library where you want to pick up your hold when it becomes available.
  • Click "Confirm Request", then "Return to Searching".
Call your local library or ask a staff member in the library for help in placing a hold.  

 

Canceling Holds

Please cancel a hold if you no longer need it.  This saves library staff time and it makes the item available sooner for other patrons to check out.

Use the Library Catalog from home or in the library
  • Click on the "My Account" tab in the Library Catalog.
  • Enter your library card number (including the D) and last four digits of your phone number or PIN.
  • Click on "Hold Requests".
  • Click on the checkbox next to the hold(s) you wish to cancel.
  • Click on the "Cancel Request" button at the top or bottom of the screen.
Call Telecirc at 360-586-1599 (in the Olympia calling area) or 1-800-582-9703.  
  • Enter your library card number (without the D) and last four digits of your phone number.
  • Enter option 3 to list or cancel any items that are currently being held in the library for you to pick up.
To cancel an Interlibrary Loan (ILL) Request, contact Ask A Librarian or call your local library.

Suspending Holds

Please help the library control expenses.  If you have too many holds or will be out of town and cannot pick them up, please Suspend your holds. 

Suspended holds are counted toward the maximum number of 25 holds.

You can temporarily suspend your holds if you are going to be on vacation or otherwise unable to make use the items you have on hold.  When you suspend a hold it is suspended until a specific date, then it becomes active again.  The default "Suspend until" date is one year from the date you suspend the hold.  While your holds are suspended, they will continue to move to the top of the line, but they will not be filled until you activate them again or until the "Suspend until" date is reached.

Use the Library Catalog from home or in the library
  • Click on the "My Account" tab in the Library Catalog.
  • Enter your library card number (including the D) and last four digits of your phone number or PIN.
  • Click on "Hold Requests".
  • Click on the checkbox next to the hold(s) you wish to suspend.
  • Change the "Suspend until" date if you do not want your holds suspended for the default period which is 1 year.
  • Click on the "Change Status" button at the top or bottom of the screen.
  • The status will change from "Active" to "Suspended". 
  • Your hold will not be filled until the "Suspend until" date is reached or until you reactivate it by perform the same steps as above to change your hold from "Suspended" to "Active" status. 
Interlibrary Loan (ILL) Requests cannot be suspended.  To cancel an ILL Request, contact Ask A Librarian or call your local library.

Hold Notices

When your hold requests are ready to pick up at the library, you will be notified by one of the following methods:

  • An email notice will be sent to you if you have provided your email address to the Library for  your patron record.

  • Telecirc, TRL's automated telephone notification system will call you.

Picking Up Your Holds

To pick up your holds, you will need one of the following:

  • Your library card or card number.
  • The title or subject of the item

To pick up holds for someone else, you will need one of the following:

  • The library card or card number the hold was placed on.
  • Enough information about the item to indicate that the patron asked you to pick up the hold for him or her.
  • A message on the patron's library card record that gives you permission to pick up his/her holds.
  • You may pick up holds for a child under 17 in your family if the your name is in the child's record or if staff is able to determine that you are a parent of the child.

     

Interlibrary Loans

If Timberland does not own an item that you need, it may be possible to borrow it from another library through "Interlibrary Loan".  Interlibrary loans may take 4 to 6 weeks to process and there may be another item or resource in Timberland's collection that meets your need.  You must have a valid TRL library card to use the Interlibrary Loan service.  Contact Ask A Librarian or your local library for assistance in finding an alternate item or for requesting an Interlibrary Loan. 

Interlibrary Loans are counted toward the maximum number of 25 holds and 50 checkouts.

Telecirc

Telecirc is an automated voice messaging system that is connected to the Library's online catalog.  Telecirc calls patrons by telephone to notify them about overdue items and about items that are being held for them and are ready for pick up.

You can call Telecirc to hear what items you have checked out and overdue, to renew items, and to cancel holds that are waiting in the library for you to pick up.
